Dear Capstone Church Preschool Volunteers,

My name is Alexis Thompson, and I am the Interim Director of Preschool Ministry at Capstone. I know many of you, but I wanted to introduce myself to those of you I haven't met. My husband Albert (who is an elder at Capstone) and I have attended Capstone since 2006. We have 3 children: George (15), Grant (12), and Cora (9). We love Capstone, and I have been part of Capstone KidMin for many years. If we haven't met, please come by the check-in area or see me on the back hallway to introduce yourself.

I am thankful for the leadership, time, and love both Amy Smith and Paige Smith have poured into our Preschool Ministry. My desire is to provide fun, clean, and safe environments where children can learn about Jesus and how He loves them. I can't do this by myself, so I need your help!

My hope is to place everyone where they love serving most, so together we can share the love of Jesus with the youngest people of Capstone—and their families too! Below you’ll find a few volunteer expectations (and the reasons behind them), along with a Preschool Volunteer Survey. Please complete the survey so I can place you in the classroom and service you prefer. All volunteers must complete the Preschool Volunteer Survey to serve on the back hallway—this helps me know you’ve read this, understood the expectations, and are ready to serve!

One of my biggest goals in Preschool Ministry is to have each preschool room become a community - with the families you serve and amongst the volunteers on your team. Let’s get to know one another and the families we are serving!

Here are a few important expectations that help us create a safe, welcoming, and well-organized environment for children and their families:

1. Arrival Time

Arrival time into the classroom you serve (not the church parking lot) is a minimum of 15 minutes before the service begins. If you’re unable to arrive that early, please consider switching the service you volunteer for. This is important because you must be in your classroom and ready to welcome children and families when they arrive. When volunteers are not in place, families are unable to check in, and it does not reflect a reliable or safe program.

2. Volunteer Check-In

You will be responsible for checking yourself in before each service in the Cafe. This ensures volunteers are in place so families can also check-in smoothly. This is a new process, so please allow a few extra minutes to check-in before heading to your classroom.

3. Scheduling & Communication

  • Schedules will be created 1 month at a time in Planning Center Services.

  • It is expected you will confirm or decline your position in Planning Center Services by Thursday before the Sunday each week. If you need help using Planning Center Services, please reach out to me as soon as you can—it’s an important part of keeping our rooms staffed and running smoothly.

  • While things like illness are unpredictable, please avoid last-minute cancellations whenever possible. When volunteers cancel or decline at the last minute, we are often left scrambling to fill spots.

  • We will create a group chat for each classroom so you can get to know one another, communicate easily, and request schedule changes as needed. This will be the place to reach out if you’d like to swap Sundays or need help finding someone to cover for a last-minute situation.

4. Questions & Feedback

If you have questions or suggestions, please share them. I’m learning a new role and truly want this Preschool Ministry to be an effective and fun place where children learn about Jesus.  What an incredible opportunity to plant and nurture some of the first Gospel seeds into the hearts of the children at Capstone!

Thank you for taking the time to read this message! Don't forget to complete the Preschool Volunteer Survey by Friday, February 13 by using the link below. I will send one reminder email prior to the deadline. The goal is to have these teams and group chats created by March. Until then, if you need to change a service you are scheduled to work, please text or email me. Thank you again for your continued service to the body of Capstone Church. We need faithful volunteers, and you are greatly appreciated!

Sincerely,
Alexis Thompson
